WorkBOS vs Motion

The AI calendar, tasks and project management alternative: with your whole back office in one place

Motion builds your whole day for you: an AI task and project manager that continuously re-optimizes your calendar around deadlines and capacity. WorkBOS does not touch your calendar at all; it is the CRM, payroll register and real accounting behind the projects Motion is scheduling.

The short version

Motion's real trick is continuous auto-timeblocking: give it tasks, deadlines and meetings and it replans your whole calendar the moment anything changes, something neither we nor most project tools attempt. Its AI Workflows can turn an uploaded SOP into a fully staffed project with deadlines set automatically, and Business AI adds capacity planning, Gantt charts and dashboards on top. It is a genuinely capable project manager. What it is not is a back office: no CRM, no HR or payroll, no accounting, and no approval-gated agent story that we could verify. WorkBOS's projects and portfolios do not auto-timeblock your day, and Motion is simply better at that one thing. But WorkBOS adds the CRM, the payroll register, the double-entry ledger and the approve-first agents that a Motion workspace still needs from somewhere else. Pick Motion to never manually schedule a task again; pick WorkBOS to run the business the schedule is for.

Where Motion is the better choice

  • Continuous auto-timeblocking that replans your entire calendar the instant a deadline, meeting or priority changes. WorkBOS makes no attempt at automatic scheduling of any kind.
  • AI Workflows that turn an uploaded SOP or prompt into a fully staffed project with deadlines and assignees set automatically by role, team and capacity.
  • An AI Meeting Notetaker built into the same product. WorkBOS has no meeting recording or transcription feature at all.
  • Capacity planning, Gantt charts and workload dashboards on its Business tier, a level of scheduling depth WorkBOS's projects module does not attempt to match.

Where WorkBOS wins

  • A real CRM and sales pipeline, a payroll register and a double-entry general ledger, none of which Motion has; a Motion workspace still needs a separate CRM and accounting system beside it.
  • Approve-first AI agents that act on business data (draft the invoice, raise the task, update the record) with an audit trail and one-click rollback. We could not find a comparable approval gate on Motion's AI Workflows.
  • One plan covering the whole back office instead of a credit-metered scheduling tool sitting on top of the CRM and accounting software you still pay for separately.
