When a voicemail comes in, WorkBOS reads it and files a plain summary and one intent, sales, support, booking, billing, spam or other, on the call record. It never answers the phone and never speaks to a caller: this only happens after somebody has already hung up.

Why this exists

  • A voicemail sits there until somebody has time to dial in, listen to the whole thing, and work out what it was actually about.
  • Nobody can tell a sales enquiry from a spam call without pressing play first, so both get exactly the same amount of attention.
  • A caller with real new business gets missed entirely when the message that mattered looks identical, from the outside, to every other voicemail in the box.

What it does

Read a voicemail after the caller hangs up

WorkBOS reads the message once it is left and files a plain summary and a single intent, sales, support, booking, billing, spam or other, on the call record. It never picks up, never speaks, and never places a call.

Notify the box owner with substance

Whoever owns that voicemail box gets a notification carrying the actual summary, so they can decide what to do without listening to the message first.

File a lead only when it is genuinely new business

A lead is created from a voicemail only when all three are true at once: the workspace has turned that switch on, the intent is sales, and the caller matches nobody already in your CRM by phone number. An existing client, contact or lead is never duplicated or downgraded.

Treat what a caller says as speech, not instructions

A voicemail is handled as untrusted speech from a stranger. Anything a caller says gets summarised in the notes, never followed as a command.

Stay inside your AI budget

Spend rides your workspace’s own AI budget. At the daily cap, reading pauses and picks back up when the budget resets rather than discarding a message it has not read.

What it does not do

The part you would otherwise find out in week three. If one of these is central to how you work, raise it before you buy rather than after.

  • It has not yet read a voicemail from a real call in production. It is fully built and switched on for the plan, but if you turn it on and a voicemail is not summarised, tell us rather than assume you did something wrong.
  • It does not answer the phone. It never picks up, never speaks to a caller and never places a call, and everything above only happens after the caller has already hung up.
  • It only acts on a voicemail. It does not listen in on a live call, and it does nothing at all for a call that never reaches a voicemail box.
  • The AI receptionist is on Pro and above, and both of its switches are off by default.

Questions, answered

Does the AI receptionist answer my phone?+

No, and it is worth repeating: it never picks up, never speaks to a caller and never places a call. It only reads a voicemail after the caller has already hung up, and files a summary and an intent on the call record.

Has this actually worked on a real voicemail yet?+

Not in production, as of now. It is fully built and tested, but it depends on a real call producing a voicemail for it to read, and that has not happened yet. If you turn it on and a voicemail is not summarised, tell us rather than assume the fault is yours.

Will it create duplicate leads in my CRM?+

No. A lead is only filed when the caller matches nobody already in your CRM by phone number, the intent is sales, and you have turned that switch on. An existing client, contact or lead is never duplicated or downgraded to a lead.

What if someone tries to talk it into doing something in their voicemail?+

Nothing happens. A voicemail is treated as untrusted speech from a stranger: whatever is said gets summarised, never followed as an instruction.
