Why this exists

  • Invoices and reminders go out from a software vendor’s address, and customers ignore them or mark them as spam.
  • Anyone could type any address into a "from" box and send as the company.
  • Nobody knows whether the domain is set up properly until mail starts bouncing.

What it does

What it does

  1. 01One list of every address you may send from

Communication > Email opens on Sending: the addresses you connected yourself and the ones your workspace shares, with the one in use marked. Press Use this beside another and your mail goes out as that one from that moment.

  2. 02Prove the address before it sends

Three ways and no others: sign in with Google, sign in to your own mail server (Zoho, Fastmail or a mailbox your web host sells you, looked up for you), or open a one-time link sent to the address. A form on its own never makes an address live.

  3. 03Owners decide who may bring their own

Members may not connect an address of their own until an owner or admin allows it, and a second setting limits them to domains the workspace has already proven it owns, or any domain.

  4. 04Check the domain’s health

The Health tab, for owners and admins, scores each domain out of 100 from what can be proven: DNS verification, your published DMARC policy and the last 30 days of DMARC reports, with plain-language fixes ranked beside the score.

  5. 05See it working before you connect a real inbox

Mail > Inbox (beta) connects a demo mailbox instantly and fills it with example conversations built from your own clients and leads, so you can see how mail will sit against the right record.

The honest part

What it does not do

The part you would otherwise find out in week three. If one of these is central to how you work, raise it before you buy rather than after.

Questions

Questions, answered

Why can I not connect my Gmail?

Almost always because your workspace owner has not allowed members to attach their own address yet. It starts switched off, and an owner or admin turns it on under Settings > Email addresses.

Does WorkBOS store my email password?

No. Google vouches for an address when you sign in with it, and for any other provider a real sign-in to that server, followed by a message that really sends, is the proof.

Can I switch between several addresses?

Yes. Every confirmed address sits in one list and any of them takes over with one click. Switching to a shared address changes it for the workspace; switching to one of your own changes it for you.

Try it on your own data

Every module is in the same workspace, so nothing needs connecting to anything.
