A small firm runs on intake calls, deadlines and getting paid, usually across a phone app, a calendar, a document tool and an accounting package. WorkBOS puts the intake form, the phone line, the matter, the engagement letter out for signature and the invoice in one place, with AI intake helpers that gather the facts for an attorney and never give legal advice.

The problem
A new enquiry rings once, nobody picks up, and the caller signs with the next firm on the list.
Court dates and filing deadlines live in one person’s calendar and one person’s head.
Engagement letters, retainers and invoices are three tools and a chase by email.
What you get
Every capability below is enforced on the server, not a demo screenshot. Anything that needs a paid plan says so on the card rather than leaving you to find out at checkout.
Modules
Each one has its own page with what it does and, just as plainly, what it does not do.
A day
Every step below is something the product does today. Anything an agent drafts waits for a person to approve it.
The deadline watcher has listed this week’s court dates and filing deadlines, and last night’s voicemails are on the voicemail list, ready to play or turn into a lead.
A new injury enquiry comes in through the intake form. It becomes a lead, the conflict check task is filed for you, and the intake specialist drafts the questions an attorney will want answered.
The consultation booked on your booking page runs as a video meeting, and with captions on the summary and action items land on the record.
The engagement letter is signed, the open-matter task appears, and the billing chaser has polite reminders for two unpaid invoices waiting for approval.
The AI team
Ready-made agents you hire in a click and adjust. Each one proposes; a person approves. They can only do what the approving person could do.
Gathers the facts from new injury enquiries and hands them to an attorney.
Handles sensitive first enquiries with care and books the consultation.
Reminds the team before every court date and filing deadline.
Drafts regular, plain-English status notes so clients are never in the dark.
Reminds clients about unpaid bills in a polite, professional way.
A ready-made setup
The Business Architect ships a setup for this kind of business: Intake stages with a conflict check, matter type, referral and retainer fields, partner, associate, paralegal and billing administrator roles, engagement letter, waiver and retainer templates, automations that file the conflict check and the open-matter task, an intake form and a practice dashboard.
Applying it files one step for an owner or admin to approve, and it only adds what is missing. The Business Architect is being switched on workspace by workspace; until it reaches yours, everything it adds can be set up by hand.
First week
Apply the law firm setup from the Business Architect, or set your intake stages by hand: new, contacted, conflict check, qualified.
Publish the intake form, connect your booking page, and start your number from the law firm call flow.
Send one engagement letter for signature and raise the first invoice from the same workspace.

Comparisons
Each comparison opens by saying where the other product is the better choice, because that is the half of a comparison worth reading.

Questions
No. Agents in law never give advice or predict outcomes. The intake specialists collect the facts from a new enquiry and hand them to an attorney, and every message they draft waits for a person in your firm to approve it.
No. Invoicing and a real general ledger are built in, and the setup adds retainer balance and trust account reference fields, but there is no client trust ledger and no three-way trust reconciliation. Keep trust accounting where your bar rules require it, and raise it on the call if you need it inside WorkBOS.
It makes sure one is run. The setup adds a conflict check stage, a conflict check details form and an automation that files a high-priority conflict check task the moment an intake arrives. The check itself is done by a person against your records; WorkBOS does not search outside databases.
Each workspace is isolated by row-level security in the database, and a client on the portal sees only what you shared with them. The activity log that records every change with the full before and after is on Enterprise. WorkBOS holds no SOC 2 or ISO 27001 certificate today.
Every new workspace gets Pro free for 30 days, no card. Then keep Pro at $12 per user a month, or carry on free for up to 5 users. Or talk it through first: Tariq takes these calls himself, twenty minutes on video.
