Getting started
New here? This is the short path from an empty workspace to a working one. Each step links to where it lives in the app. You can do them in any order, but this sequence works best. Nothing here is permanent. You can change everything later.

1. Complete your business profile
Open Settings ▸ Profile. Fill in your contact details, industry, address and tax/registration numbers. A progress card at the top shows how much is done. This information is printed on your invoices, proposals and emails, so it is worth doing first.

2. Invite your team
Go to Users. Invite the people who will use the workspace. Each person gets their own login. You can group them into Teams (Users ▸ Teams) for assignment and visibility.

3. Give everyone the right access
Still in Users, click a person to open their detail page, then the Access & roles tab. Assign a role template (a ready-made set of permissions) or switch individual permissions on/off. Customised someone’s permissions and want to reuse them? Use “Save as role template” on their Access & roles tab to turn them into a named template. Roles are managed in the Users ▸ Roles tab.

4. Choose your plan
Open Billing. Compare plans, upgrade with a card through secure Stripe checkout, and turn Auto-renew on so the plan continues automatically. Your plan and its renewal date also show under the workspace name in the sidebar.

5. Connect your email
Open Settings ▸ Email addresses and connect the address you want the workspace to send from. Sign in with Google and every alias Google already vouches for is confirmed at once; for Zoho, Fastmail or a plain host on your own domain, type the address and WorkBOS looks up its mail server for you. Connect as many as you like: they all appear on the Sending tab of Communication ▸ Email, with the one in use marked and one click to change it. Decide here too whether your team may connect addresses of their own, because that starts switched off. See “Email: connect an account and switch senders” for the walkthrough.

6. Set your notifications
Admins set which notifications are required for everyone in Settings ▸ Notification policy. Each person then tunes their own optional alerts under Settings ▸ Your alerts, on their user page (Notifications tab), or via the bell ▸ Notification settings - the same control in all three places, including the email delivery mode and digest hour.

7. Tune lists & options
Open Settings ▸ Lists & options to customise the dropdowns used across the app: task priorities, income/expense categories, industries and more.

8. Start with sample data (optional)
When you first create a workspace, the welcome screen offers to add sample data so you can explore. Leave it ticked to land in a fully populated workspace (example projects, deals, invoices and live dashboards, plus a starter AI-agent team and example agent activity that populates the Agent Activity & ROI dashboard, on plans that include Agents) instead of an empty one; untick it for a clean start. Owners can load realistic sample data from Settings ▸ Profile ▸ “Generate demo data” to see every module populated - the work pages (projects, time entries, meetings, approvals, reminders), the CRM directory and estimates, the full finance stack (vendors, payments, journal entries, budgets, recurring billing), HR operations (attendance, leave, payroll, appraisals, onboarding, training) and the collaboration surfaces (chat, notices, feedback, ticket replies, drive documents), each only where your plan includes it. You can also add “Sample smart columns” there to see relationship, rollup and formula columns working on real Clients data. You can wipe it later from Settings ▸ Danger zone.
Tip: the sidebar only shows modules your plan includes and your role allows. If you cannot see something, check your plan (Billing) and your role (Users).
Live attention badges: the sidebar shows a red count next to anything waiting on you: approvals to review, agent actions, unread SMS, your own tasks due today or overdue, and (for owners/admins) overdue invoices, pending expense/leave approvals and new form submissions you haven’t looked at yet, and a small red dot on the icon when the sidebar is collapsed. Opening a module clears its dot. On a queue page, a matching in-page banner with a live pulsing dot shows the same count and, in one click, filters the list to just the items awaiting you, so the sidebar number and the visible rows always line up. It refreshes automatically every few seconds so you always know where to act next. Unread notifications now raise the same red dot on the relevant module in the sidebar and on the exact row inside any list, and every notification spells out who did what to which record (and in which project) then opens that record when you click it.
