Recording a meeting

A meeting is recorded only if it was set to record when somebody created or edited it. When it is, everybody taking part is shown what will be recorded before they join and has to agree or decline, including a guest who joins by a link and has no WorkBOS account. Nobody can join a recorded meeting without answering.

   Everyone is asked, at the door

   The pre-join screen says in plain words what is captured: the audio and video of everyone, as one file, plus an automatic transcript and the notes drawn from it. The exact words shown are stored with the answer, so the record can never say something different from the screen.

   Declining does not throw anybody out

   If one person says no, the recording does not run for that meeting and everyone is told why. The person who declined takes part normally. This is deliberate: a single mixed recording cannot leave one voice out, so the only honest choices are nobody is recorded or that person leaves, and ejecting somebody for using a right the law gives them is a product telling them the right is not real.

   The marker stays up the whole time

   While a recording is running, a red Recording marker is on screen for everyone, for as long as it lasts. When it is not running because somebody declined, the marker says that instead. There is no state in which a person is being recorded and cannot see it.

   Who has to agree depends on where people are

   WorkBOS works out the strictest rule that applies to anybody in the room and asks accordingly. In twelve US states, in Germany and in Switzerland everyone has to agree; elsewhere telling people is enough. Somebody whose country we do not know counts as the strictest case, because the cost of asking unnecessarily is one click.
