Marketing contacts
Marketing ▸ Contacts is everyone you can email, and whether you may. Every contact carries a permission status, and only people marked Subscribed ever receive a campaign. Everyone else is kept for the record and never mailed.
| Status | What it means | Gets campaigns? |
|---|---|---|
| Subscribed | They agreed to hear from you, or they are existing customers or recent enquiries you may email where the law allows it (the soft opt-in). You recorded which, and when. | Yes |
| Not subscribed | You have their address but no permission yet (for example, everyone added from your CRM). | No |
| Awaiting confirmation | They signed up and have not confirmed yet. | No |
| Unsubscribed | They asked you to stop. They can undo it themselves from the preference page, or an owner or admin can, with a note saying when and how they asked to come back. | No |
| Bounced | Their mailbox rejected your email permanently. | No |
| Marked as spam | They reported your email as spam. They cannot be subscribed again. | No |

Add a contact
Press Add contact, type the email address and any details, and choose whether they asked to hear from you. If they did, write a short note of how and when (for example "Signed up at our stand, 12 September"). The note is kept as proof of permission.
- 2
Import a file
Press Import and choose a CSV file (up to 5 MB and 20,000 rows) or paste rows. Check which column is the email, the names, company, phone, tags and country; any other column can become a custom field or be skipped. Then answer the permission question for the whole file, which cannot be skipped. You get a summary of who was added, updated, left unchanged, and skipped (with the reason: an invalid address, someone on your do-not-email list, or over your plan’s contact limit).
- 3
Bring in your CRM
Press Add from CRM. Everyone in your CRM with an email address is added as Not subscribed and linked to their CRM record. Nobody receives marketing email until you have their permission.
- 4
Open a contact
Click a row to edit their details and tags, see their permission history (every change, when, and from where), what they were sent, opened and clicked, and a link to their CRM record.
Deleting someone who unsubscribed, bounced or reported spam does not let them back in: their address stays on your do-not-email list, so a later import cannot add them again by accident. The list keeps only a scrambled form of the address, not the address itself.
Contacts are separate from your CRM on purpose: a marketing list holds people who may never become customers, and a customer is not automatically somebody who agreed to marketing email. When a contact came from the CRM, the two stay linked. Tags are free words you choose (up to 50 per contact) and are used by segments and campaigns. Select several rows to add or remove a tag, unsubscribe, delete, or export them as a CSV file.
