Interviews, offers and turning an accepted offer into an employee
After a job is posted and people have applied, two screens carry the rest of the hire. HR > Interviews is a log of the interviews you book against an application. HR > Offer letters holds the offers you make, and it is where an accepted offer stops being a record and becomes a person in your workspace. Both need HR on your plan, and both are visible to your staff only, never to guests or clients.
- Interviews: Schedule interview against a candidate who has applied, with a time, a mode (onsite, phone or video), a stage label such as "Tech round", the interviewer, a rating out of five and your feedback notes. An interview starting within two days is flagged on the list.
- What Interviews does NOT do, and it surprises people: nothing is emailed and no calendar invite is sent. It is your record of the appointment, not the invitation. Booking one also does not move the application to the interview stage; you do that on Applications.
- Deleting an interview is permanent, and deleting the application it belongs to deletes its interviews with it.
- Offer letters: New offer records the candidate, the job title, the salary and currency, the start date, an expiry date and a status. Generate document hands those details to your templates so you can produce a branded letter. You can attach files to an offer and keep notes on it.
- The statuses are labels you set, not a workflow: draft, sent, accepted, declined, expired. Nothing is emailed when you mark an offer "sent", and an offer past its expiry date is shown as overdue but stays "sent" until somebody changes it.
The one status that unlocks something is accepted. On an accepted offer, an owner or admin gets "Create employee and start onboarding". It fills a form from the offer and, in one step, creates the person in your directory, records their pay from the offer, starts the onboarding checklist you choose, and optionally sends them their invitation. If the email address already belongs to somebody in your workspace it offers to link the offer to that person instead of creating a duplicate.
Two things worth knowing about that step. It is several separate actions rather than one, so if one of them is refused, everything before it stays done and WorkBOS tells you exactly what happened and what is left to finish by hand. And only owners and admins can create offers or run the hire; a member can read them and correct a name or a job title. Deleted offers go to Trash and can be restored, unlike interviews.
